Orchestry specializes in simplifying and automating the adoption, change management, and governance of Microsoft 365. Their platform empowers organizations to fully utilize Microsoft 365, transforming how teams collaborate and communicate.

This project has encompassed the full spectrum of product design, from UX and UI to user experience thinking. This role involved architecting a newly built design system for the product, conducting user testing, creating wireframes, developing high-fidelity designs, and crafting interactive prototypes. The primary goal was to make a comprehensive design system capable of catering to a complex product like Orchestry's, followed by designing new features for the existing platform. The long-term objective was gradually transitioning the entire platform to the new design.

This project demanded meticulous planning, designing, and a profound understanding of the users' needs and interactions with the platform, whether as a standalone app or integrated within the Microsoft 365 ecosystem.

Design System: Committed to a cohesive, modern, accessible user experience

Each element was crafted with dedication, considering every user interaction and ensuring all instances, variants, and components were accounted for. The process required close collaboration with the engineering team to address challenges and streamline workflows. Building a robust design system to support this complex product and integrate seamlessly with the Microsoft 365 platform took several months. The design system is committed to a cohesive, modern, accessible user experience. It encapsulates the brand essence, ensuring that every component tells a consistent and compelling story.

Throughout the design process, I focused on creating a unified user experience by deconstructing and reconstructing user pathways, making interactions intuitive and timely. The designs harmonize typography, color schemes, and iconography to improve user engagement and functionality.

The project involved balancing legacy elements with innovative design, addressing change fatigue, and ensuring that our updates do not compromise accessibility or usability.

The result was a flexible, future-proof design system that not only meets users' current needs but also lays the groundwork for continuous evolution and improvement.

Designing the Recommendations Feature: Enhancing User Guidance

One of the standout features I designed was the "Recommendations" section, as shown in the screenshot above. This feature gives users prioritized, actionable insights to enhance their workspace management.

The design process for this feature heavily relied on user testing and feedback loops with beta testers. I aimed to ensure that users received the most relevant and helpful information. Key elements included:

  • Priority Indicators: Clear labels (Urgent, Important, Best Practice) to help users quickly identify the significance of each recommendation.

  • Expanded View: Detailed information and actions available when users expand an item, such as history, snooze options, and direct resolution actions.

  • Resolved History: Tracking and displaying resolved issues to provide context and continuity for users.

Integration with the existing platform was seamless, allowing users to effortlessly transition between their usual workflows and the new recommendations feature. This iterative design approach ensured the final product was intuitive and invaluable to users.

By incorporating continuous feedback, I refined the interface and functionality, ultimately delivering a feature that significantly improved the platform's user experience and operational efficiency.

Implementing the Health Checks Module: Visualizing and Managing Workspace Insights

The Health Checks module is designed to provide comprehensive insights into users' Microsoft 365 workspace environments. It offers detailed reports on metrics such as provisioning, archival, guest reviews, and storage usage, allowing users to monitor and manage their environments effectively.

One of the primary challenges was displaying this vast amount of data in a user-friendly manner. We needed to ensure that information was both accessible and actionable. This involved:

  • User-Generated Reports: Users can generate their reports, adding annotations and feedback to each section, significantly enhancing customization and usability.

  • Annotations and Comments: Allowing users to annotate and comment on specific sections of the reports added complexity, especially when considering export options for printing.

  • Graphical vs. Textual Information:  I researched extensively to determine the best way to present information. This included deciding between graphical representations (charts, graphs) and textual data to ensure clarity and ease of understanding.

  • Displaying Progress and Change: We focused on showing progress and changes over time, which is crucial for users to track their environment's health and make informed decisions.

  • Multiple Perspectives: Designing for administrative, user, and external perspectives required a balanced approach to ensure that the module efficiently meets diverse needs.

Integrating user feedback and conducting thorough research, I crafted a module that delivers critical insights and enhances the overall user experience through thoughtful design and functionality.

This design system, like many others I have built over the years, is designed to adapt and evolve in response to the product's ever-changing needs. It can incorporate marketing designs into Figma, utilizing its latest features to create a seamless experience across different mediums. This adaptability allows the brand to design the core product, emails, feature sections, presentations, and more.

I aim to provide the best user experience and give the product team the tools to innovate and generate ideas. I achieve this by maintaining a comprehensive and adaptable design system, ensuring that every aspect of the product, from user interfaces to marketing materials, is coherent, easy to use, and visually appealing.

This forward-thinking approach empowers the brand to meet future challenges head-on, continuously enhancing functionality and delivering value to our users. My commitment to a unified design philosophy ensures that the designs remain consistent and impactful as the product grows, fostering a superior user experience and enabling efficient, creative development.
